Collaborative editing example

Here we show an example of translator-reviewer collaboration with offline translation using Word. With illustrations and explanations. Translator and reviewer are free to choose the most convenient for them way of collaboration, taking into account their own restriction and preferences, such as: access to Microsoft Word, familiarity with review mode, preference to online office suits like Google Docs, or even manually through email. This option is offered, because experience of Russian community had shown its practicality and convenience.

Translator

Reviewer

  • Gets the doc. Actually, reviewer can make the doc as well, but translator might find it useful to leave a comment to editor, for example pointing to a difficult place. We recommend to add editors initials to immediately to the file. It shows there are comments inside:

  • Reviewer edits the file. We highly recommend using review mode - it's done for that. We also recommend leaving comments and explaining your edits - this is where expertise transfer happens in its most effective way - by example.
  • If the edits are small (word replaced, punctuation, etc), it is better to edit right there in the column:

  • If the edits are significant, it might be better to add a column and offer your option there. Here the column with the original translation remains as final. The extra one server only for offering an alternative or to ease a comparison in case of gross edits. Upon agreement, translator and editor accept or reject small edits in the final column and move significant edits from extra column into final (see below):

Translator

  • Having received edited translation, saves the file, adding own initials. This works as a primitive version control system, showing the whole series of edits. And allows going back in case something is screwed up:

  • If translator agrees with editor, the edit is accepted:

and the comment is deleted:

  • If grammar checker override the menu, choose ignore first:

and then accept or reject:

  • In case of disagreement leave a comment by selecting the text in question and creating a new comment:

  • Several edits can be accepted at once. Select a piece and click accept:

This trick can be used to quickly see final text in case of multiple edits. Select edits, click accept. Like it? Leave it. Do not like it? Undo (Ctrl+Z) and leave a comment.

  • You can reject edits partially and offer your option. Always comment. First comment LS2 was further commented by AA3R2, where AA3 means third comment by editor AA, which is also a Reply to comment LS2. Comments are coloured as well, making it easy to differ:

  • Similarly with other edits, accepting or rejecting:

and moving the file closer to the final version, leaving only unsettled moments:

In addition, into editor's option some small changes were introduced.

  • If you disagree with editor, you can leave it, and write a comment:

  • Or if the option was offered as an edit and you disagree, move it to the draft column (compare with picture above) and comment:

  • One more example with moving between columns and comment. Here translator partially agreed with editor (about "the method") and edited the original translator option (see. AA11R10 - a reply to LS10), but didn't replace the text completely, leaving a comment. In addition there was another improvement about (историй), again with a comment AA12:

Editor

  • Having received comments for reviewer's edits, reviewer goes through them again, repeating the procedure if necessary. After reaching an agreement, reviewer deletes all the remaining comments (otherwise they add extra spaces later on):

and converts the .doc into .srt as described in Offline translation using Word. Upload, approve, done! :) Easy :)
